This Privacy Policy explains how we collect, use, disclose, store, and protect information when you visit https://workflowautomations.app/,use our services, or authorize our integrations with third-party platforms.
By using our services, you acknowledge the practices described in this Privacy Policy.
2. Information We Collect
Depending on how you use our services, we may collect the following categories of information.
A. Business Account Information
We may collect information about businesses that subscribe to or use our service, including:
- Business name.
- Business email address or telephone number.
- Google review links and relevant business configuration settings.
- Account, subscription, billing, and support information.
B. Customer Information Processed for Businesses
To provide automated follow-ups, we may process information that a participating business provides or authorizes us to access, including:
- Customer names and telephone numbers.
- Customer email addresses, where applicable.
- Invoice, order, appointment, or service-completion information.
- Dates and statuses associated with customer transactions.
- Message delivery status and opt-out preferences.
The information processed depends on the integrations and features enabled for the business.
Businesses using our service are responsible for ensuring they have the necessary rights, notices, permissions, and legal basis to provide customer information to us for processing.
C. Third-Party Integration Information
If a business connects a third-party service, such as QuickBooks Online, we may receive information made available through the permissions the business grants.
For QuickBooks integrations, this may include company identifiers and relevant customer, invoice, or transaction information needed to operate the service.
We seek to use only the information reasonably necessary to provide the requested functionality.
We do not request or need a business's QuickBooks password. Where OAuth authorization is used, authentication is handled through the third-party provider.
D. Technical and Usage Information
We may collect technical information necessary to operate and troubleshoot the service, such as workflow execution records, timestamps, integration status, error logs, and basic website usage information.
The exact information collected depends on our hosting configuration, service providers, and the features in use.
3. How We Use Information
We may use information to:
- Provide, operate, and maintain automated customer follow-ups and review requests.
- Connect authorized business software and process relevant events.
- Send review invitations on behalf of participating businesses.
- Maintain message delivery records, prevent duplicate messages, and honor opt-out requests.
- Monitor service reliability and troubleshoot errors.
- Provide customer support and communicate about the service.
- Manage client accounts, including business details, QuickBooks connections, review links, and automation settings, and manage subscriptions and billing where applicable.
- Protect against fraud, misuse, unauthorized access, and security incidents.
- Comply with applicable legal obligations and enforce our agreements.
We do not sell personal information to third parties for their own marketing purposes.
We do not use customer information obtained through business integrations for unrelated purposes unless permitted by law and applicable agreements.
4. How the Service Handles Review Requests
Our service is designed to help businesses invite customers to leave feedback voluntarily.
Review invitations do not guarantee that a customer will submit a review, that a review will be positive, or that a business's review count or rating will increase.
Businesses are responsible for the accuracy and appropriateness of their review invitations and for complying with the policies of Google and other relevant platforms.
Our service is not intended to suppress negative feedback, selectively invite only customers expected to leave positive reviews, purchase reviews, or create fake reviews.
5. Third-Party Service Providers
We may use third-party providers to host, operate, and support our service. Depending on the configuration, these providers may include:
- Intuit QuickBooks Online: to access authorized business and transaction information.
- n8n: to execute and manage automation workflows, where used.
- Twilio or another messaging provider: to transmit SMS messages, where enabled.
- Gmail to send review requests, where enabled.
- Hosting, database, monitoring, payment, and website providers: to operate our service and manage accounts.
These providers may process information on our behalf or under their own privacy terms, depending on the service they provide.
Information may also be disclosed when required by law, necessary to protect rights and safety, or involved in a business transfer such as a merger or acquisition.
We do not control the independent privacy practices of third-party services. Users should review the applicable policies of those providers.
6. QuickBooks and Other Authorized Integrations
When you authorize an integration, you permit our service to access the information covered by the permissions displayed during the authorization process.
We use that access to provide the features you requested. We do not intend to use information obtained through QuickBooks for unrelated advertising or sell it to data brokers.
Access may continue until you disconnect the integration, revoke authorization, or we otherwise terminate access, subject to applicable technical and legal requirements.
You may revoke an integration's access through the relevant provider's account settings. Revoking access may prevent some or all service features from working.
Our handling of QuickBooks data is also subject to applicable Intuit terms and requirements.
7. SMS Communications and Opt-Outs
Where SMS messaging is enabled, messages may be sent on behalf of a participating business to customers whose information the business has lawfully provided for that purpose.
The participating business is responsible for obtaining any consent required by applicable law before messages are sent. We expect businesses to use the service only for lawful and appropriately authorized communications.
Recipients may be able to opt out by replying STOP where supported. We and the participating business will honor applicable opt-out requirements and maintain suppression information as needed to prevent further messages.
Opting out of review-request messages does not necessarily unsubscribe a person from unrelated communications managed by the business.
Message and data rates may apply according to the recipient's wireless plan.
8. Data Retention
We retain information for as long as reasonably necessary to provide the service, maintain business records, resolve disputes, enforce agreements, comply with legal obligations, and protect the service.
Retention periods may differ depending on the type of information and the purpose for which it is used.
When information is no longer needed, we will take reasonable steps to delete it or render it inaccessible, subject to applicable legal requirements, backup cycles, and legitimate recordkeeping needs.
Businesses information is automatically removed from quickbooks auth after client press Disconnect on the customers dashboard.
9. Data Security
We use reasonable administrative, technical, and organizational measures appropriate to the nature of the information we process to help protect it against unauthorized access, loss, misuse, or disclosure.
No method of electronic transmission or storage is completely secure. We cannot guarantee absolute security.
Businesses are responsible for protecting their own accounts, credentials, devices, and authorized access to the service.
10. Your Privacy Rights and Choices
Depending on applicable law and your relationship with us, you may be entitled to request access to, correction of, or deletion of certain personal information, or to object to or restrict certain processing.
If you are an end customer of a business using our service, please understand that the participating business may be the primary party responsible for your customer records. You may contact that business directly or contact us at the address below so we can route your request appropriately.
We may need to verify your identity or authority before responding. Certain information may need to be retained where required or permitted by law.
You can also unsubscribe from marketing emails using the unsubscribe link, where available, or opt out of SMS messages as described above.
11. Children's Privacy
Our service is designed for businesses and is not directed to children under 13. We do not knowingly collect personal information directly from children under 13 through our website or service.
If you believe a child has provided personal information to us, contact us so we can review the matter and take appropriate action.
12. International Processing
Our service providers may process or store information in countries other than the country where the information was originally collected. Where required, we will take steps intended to provide appropriate protection for such transfers.
13. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our service, technology, legal obligations, or business practices.
We will post the updated version on our website and revise the “Last Updated” date. Where required by law, we will provide additional notice or obtain consent.
